1. Who We Are
This Recruitment Privacy Policy sets out the privacy practices for rg+p, a limited company, registered in England and Wales, Registration Number 3837194 and its Registered Office is at Sovereign House, 17 Princess Road West, Leicester, LE1 6TR.
2. About this recruitment privacy policy
In order to recruit new employees, we will need to collect and process certain personal information about you. We are committed to respecting the privacy and security of individuals’ personal information through the application process.
This policy describes how we collect and use personal information about you during and after our
relationship with you. Please read this policy carefully to understand our policy and practices regarding personal data and how we shall treat it.
3. Why we need to process your personal data
We need to collect and process relevant personal data about you to be able to consider your application for any vacancies at rg+p. This includes:
To assess your suitability for any vacancy you apply for;
To make offers of employment and provide contracts if your application is successful;
To meet our legal obligations – such as payroll, tax and national information;
To determine your eligibility to live and work in the UK;
To monitor compliance with anti-discrimination in line with our policies;
To consider you for alternative vacancies.
If you are not able to provide us with sufficient personal data, we may not be able to assess your suitability for employment, process your application or communicate with you. As your application progresses, we may need to ask you for more personal data.
4. What personal data we collect about you
As part of our recruitment process we collect the following data:
Biographical information – name, address, date of birth and gender;
Contact details – postal address, email address, telephone numbers;
Employment history – your CV, records of education, qualifications and training;
Information to identity you – passport, visa or other permission to work documentation;
Sensitive personal information – health details including any disabilities which will help us consider your workplace needs, and information about your ethnic origin;
Suitability for employment – interview notes, references and results of criminal records (we will ask for your consent prior to doing this);
Equal opportunities – if your application is successful you will be asked to provide details of your ethnic origin when completing our Equal Opportunities Form. We process this information strictly for monitoring compliance with anti-discrimination legislation providing equality of opportunities for all;
Financial information – only if your application is successful will we require your bank details for the purposes of paying you.
5. How long do we keep your personal data for?
We will keep your personal data only as long as it is necessary to process your application and if you are successful for the duration of your employment with us plus seven years after your employment ends. If your application is not successful, we will keep your personal data for 12 months after the recruitment process has ended. You can ask us to erase this data at any time.
6. Who we may share your personal data with
We use third parties such as employment law advisors and recruitment agencies to process personal data on our behalf. However, we will only use data for the purposes it is intended for and we will not share this with any other party.
7. Your rights
From May 2018 you will have certain rights in relation to your personal data. Please be aware that certain exceptions apply to the exercise of these rights and so you will not be able to exercise these in all situations.
Subject access: You have a right to be informed if we are processing personal data about you, and if so, to obtain a copy of any personal data rg+p holds about you. We will seek to comply with any ‘subject access’ request within one month of the request being received by us (subject to certain exemptions).
Rectification: You can ask us to correct any inaccurate or incomplete personal data.
Erasure: You can ask us to erase personal data in certain circumstances and we will take reasonable steps to inform other controllers that are processing the data that you have requested the erasure of it.
Withdrawal of consent: You can withdraw any consents to processing that you have given us and prevent further processing if there is no other ground under which rg+p can process your personal data.
Restriction: You can require certain personal data to be marked as restricted whilst complaints are resolved and also restrict processing in certain other circumstances.
Right to object: You can object to the processing of your personal data that is based on our legitimate interests or done for research and statistical purposes. You also have the right to object to the use of your personal data for direct marketing purposes (including profiling).
Portability: Where we rely on your consent to process your personal data or where processing is necessary for the performance of a contract, you can ask us to provide you with the personal data in a format that will allow you to transmit it to a third party electronically.
Raise a complaint: You can raise a complaint about our processing with the Information Commissioner’s Office, the data protection regulator in the UK.
Rights related to automated decision making, including profiling: In certain circumstances you have the right not to be subject to automated decision making and/or profiling. This does not apply in circumstances where processing is necessary for entering into or for the performance of a contract with you. Please note that we do not use automated decision making in any of our processes.
